BOOKING AND PAYMENT PROCESS:

So far as the mechanics of finalising bookings and payment are concerned, what happens is that when we have agreed an itinerary and price we will email a Africa Safari Direct Ltd. booking form, and request payment of a deposit of £200 per person. Africa Safari Direct Ltd. is registered with the UK Civil Aviation Authority and has an ATOL (Air Travel Operators Licence) for your financial protection, and to comply with UK consumer protection law. The ATOL gives financial protection where flights from the UK are included in your arrangements and you are additionally protected by your credit card company if you pay by this means, whether or not international flights are included.

Once you have paid a deposit, we will reconfirm any flights and all other necessary bookings to secure your itinerary. If any accommodation is not available, we will suggest alternative accommodation and/ or a modified itinerary as close as possible to the original proposal. If this results in a less expensive total we will pass on any saving and if the increase is small we will absorb the difference. If changing the accommodation/ itinerary result in a significant increase in cost, you will have the option of paying the increased cost, or cancelling your trip with a full refund of deposit paid.

The balance will be payable 8 weeks in advance of your date of departure.

You can pay deposit and balance with a Visa or Mastercard credit card or Switch card. You can also pay by £ cheque which should be made payable to Africa Safari Direct Ltd. or by bank transfer to Africa Safari Direct Ltd.'s account the details of which we will provide on request.

We can also accept payment in US$ or in Euros by cheque or by bank transfer - full account details will be provided as necessary.

Africa Safari Direct Ltd. and Ranger Safaris / Pollmans Tours & Safaris require that you to be covered by your own personal travel insurance for the period of your trip and Africa Safari Direct can provide a travel policy for UK residents if required, at additional cost.

Africa Safari Direct Ltd. will mail you a receipt for deposit and subsequent balance payment, and a booking confirmation. Africa Safari Direct Ltd. will also send you international flight tickets, if these are included in your itinerary, by guaranteed next day delivery post about two weeks before your departure.

You should take a print out of your contract, which will act as a voucher for all services. Any internal flight tickets and necessary vouchers in East Africa will be handed to you after your arrival, but most day to day paperwork will be handled by your driver/ guide or other Rangers or Pollmans representatives. All the contact numbers etc. you may need for Ranger Safaris in Tanzania and Pollmans in Kenya, who will be the ground operators and responsible for your arrangements throughout your stay, are on your contract.

TERMS AND CONDITIONS:

We strongly recommend you read the following information. It includes a variety of subjects relating to your holiday which may affect your holiday choice or expectations. To avoid possible misunderstanding you are advised to seek confirmation in writing of any additional information given.

Web site, Itinerary and Brochure Descriptions
Great care has been taken in compiling the website and brochure, and individual itineraries, to ensure that lodge, hotel, transportation, itinerary and other information is accurate. Our descriptions are based on assurances from tour operators that the facilities shown will be available during the term of the brochure. It must be remembered, however, that the brochure is produced some twelve months in advance and naturally changes can occur. If we are advised of any material changes by the tour operator we shall do our utmost to pass this on to you as soon as we become aware of it.

Custom Itineraries
The custom itinerary as agreed will be booked on receipt of your deposit and the tour operator will adhere to this so far as possible. It may be that due to weather, road conditions or a variety of other reasons beyond the control of the tour operator the itinerary may be amended or reorganised. If this becomes necessary the tour operator will keep you informed so far as possible and maintain all services at the level of those agreed and booked.

Lodge & Hotel Facilities
Hotel, lodge and camp facilities are shown in good faith as being available but their provision may be limited, or they may not be available from time to time. If air-conditioning is provided, the operation of this is at the discretion of hotel management and may be subject to energy saving regulations. Please also note that supplies of electricity and water can be erratic. Hotels also have to be maintained and refurbished and swimming pools cleaned, but the manager will try to ensure a minimum of inconvenience to guests.

Accommodation
Even though we feature some of the best lodges, camps and hotels in each destination the accommodation may still be considered modest by European standards. In some cases we may describe it as simple or even basic but what it lacks in creature comforts it may well make up for in character. Our use of the words superior or deluxe to describe rooms must be read in the context of the hotel description.

Lodge and hotel rooms, and tents at camps, vary greatly in size and some establishments have different room categories. In some locations, quad or family rooms suitable for up to four clients sharing may be available,

Unless otherwise stated, accommodation is based on two clients sharing a room with twin beds and en suite bathroom facilities. Rooms with double beds are available, if booked in advance at almost every location.

Apart from a few small safari lodges and camps that do not accept children under 12, children are welcome everywhere. Lodges, camps and hotels will place an extra bed in a twin room (or double) and a reduction will be offered for a child under 12.. It must be understood, however, that floor and drawer space may be cramped. and beds for children may not be full single size, and can often be Orollaway¹ style.

Meals and Service
In general you cannot expect the same standards in faraway destinations as you might in Europe or the US. In many areas much of the food has to be imported and meals will vary depending on the style of hotel. Please remember that food is very much a matter of personal taste and preference. Many hotels adopt a buffet style service for meals. With few exceptions most faraway destinations have a rather relaxed attitude to service. It can be frustratingly slow at times but remember you are in the tropics. A friendly approach on your part is likely to achieve the best results.

Check In/Check Out
Without exception all hotels operate the standard international practice with regard to check in and check out times. This means you may have to wait some time after an early arrival for your room to be made up and vacate your room perhaps hours before your departure. Often hotels arrange for one room to be allocated to departing guests for changing etc. It may also be possible to retain your room until departure on payment of an extra charge. Obviously both depend on whether rooms are required for arriving guests.

Passports and Visas
Please ensure you hold a full 10 year passport and that it is valid for at least 6 months after your return date. The costs of passports and visas are not included in the holiday price. It is entirely your responsibility to ensure that your passport and visa documentation is in order. Failure to do so may lead to denial of exit from this country or of entry overseas. Any costs which consequently arise will be payable by you. It will also be deemed that you have cancelled your holiday and appropriate cancellation charges will be levied.

Vaccinations and Health
We recommend that you check with your own doctor as to which inoculations he may consider necessary and available for specific areas. Africa Safari Direct Ltd. cannot be held liable for the failure of clients to comply with the health requirements of countries they intend to visit. Airlines require that any women more than 28 weeks pregnant at the time of return travel should produce medical evidence of their fitness to travel. Even by following recommended precautions some of our clients may still be susceptible to stomach infections. Whilst we are sorry if this should detract from your holiday enjoyment, we obviously cannot accept any liability in this matter.

Whilst most health precautions and inoculations are optional, you may be required to produce a Yellow Fever certificate in Tanzania or Kenya and, in particular, on Zanzibar. This certificate should not be required if you are visiting either Kenya or Tanzania mainland from a noninfected area such as North America and Europe, but may be required of crossing from one country to the other or for entering Zanzibar from any destination.

Safety
Clients bookings are accepted on the understanding that the clients appreciate the possible risks inherent in travel; and in particular adventure travel activities such as trekking, climbing, and diving.

You are, of course, responsible for your own safety and you should make allowances for the fact that you are visiting less developed countries. The poverty in some countries can be a culture shock. It is therefore tactless for visitors to make a great show of wealth. In general your own common sense must prevail, but avoid walking around towns or cities at night or too far from civilisation even during the daytime. Please remember in the tropics the sun can be deceptively strong and those inviting crystal clear waters may conceal strong undercurrents, sharp coral or sea urchins and the like. Take every precaution and take heed of local warnings.

The Foreign & Commonwealth Travel Advice Unit may have issued information about your holiday destination. You are advised to check this information on BBC2 (Ceefax) page 470 onwards or on the Internet under the address http://www.fco.gov.uk/.

Residents of countries other than the UK are advised to check if their Governments may have issued information about your holiday destination on the appropriate website.

Your Holiday Price Includes:
? Transfers to and from the overseas airport if International flights are included or if such transfers are specifically mentioned on your itinerary and your accommodation. Multi-centre holidays also include additional transfers or flights required to complete the itinerary, where these have been requested and included.
? Touring holidays include all travel and specified excursions and the services of an experienced, English speaking driver/ guide- or other language as agreed.
? Accommodation as confirmed including any obligatory service charges and taxes as levied by the hotel.
? Meal arrangements as booked. Holidays including main meals will generally commence with dinner on the day of arrival and terminate with breakfast for half board and lunch for full board on the day of departure.
* Safaris and climbs are on a full board basis including three meals per day. Drinks and laundry may be included at some locations where specified.

City centre hotels are usually booked on a bed & breakfast basis.

Beach Resorts and hotels are most usually on a half board basis, but may also be on a full board or full inclusive basis as per the itinerary specification.

Not Included:
? Holiday insurance (see further information below).
? Excursions and sightseeing trips which are not shown as included.
? Charges made by the hotels for the use of certain facilities and extra meals, drinks, laundry and personal items including any tax or service charge levied for them.

Your Commitment To Us

Payment
A completed booking form should be sent to us accompanied by a deposit of £200 per person plus the appropriate insurance premium where applicable. Deposits are not required for infants under 2 years on the day of departure. The balance due as shown on your invoice must be paid to us not later than 8 weeks (56 days) before your departure. If you fail to pay the balance by the due date we reserve the right to treat the booking as cancelled, and levy appropriate cancellation charges as detailed below.

If you are booking within 8 weeks of departure, full payment is required.

NB. Holidays including Christmas/New Year period may be subject to amended payment conditions, please check at the time of booking.

Insurance- UK residents
If you are UK resident we can provide a suitable policy, details and costs of which we will provide on request. You will be insured from the time of booking if the required premium is paid together with your deposit. You are not obliged to take this insurance but must arrange cover of at least a similar level.

This must take account of the nature of the holiday and clients must specify to the insurance company if they intend climbing, trekking, scuba diving etc. The policy should also have repatriation cover in the event of a serious accident. Clients must take the Certificate on the holiday.

Insurance- non UK residents
It is a recommendation when booking your holiday with us that you purchase comprehensive travel insurance. This should include adequate cover against cancellation or curtailment, all expenses resulting from any medical treatment following an accident or emergency situation, expenses resulting from loss or theft of baggage and all other risks normally covered by such policies.

This must take account of the nature of the holiday and clients must specify to the insurance company if they intend climbing, trekking, scuba diving etc. The policy should also have repatriation cover in the event of a serious accident. Clients must take the Certificate on the holiday.

Flying Doctor Cover in East Africa
Temporary one month membership of the Flying Doctors' Society can be arranged at a cost of US$35 per client, payable in cash on arrival. This provides the services of light aircraft and skilled doctors for emergency treatment and evacuation to Nairobi resulting from accident or medical emergency in Kenya or Northern Tanzania.

The cost of such primary evacuation will probably be covered by any standard travel insurance policy, but you would need to pay the cost at the time, and reclaim this later, unless you have Flying Doctors membership.

The cost of a policy covering both Kenya and/or Northern Tanzania is $55 per person and this can be extended to cover southern Tanzania and Zanzibar at additional cost.

Alterations By You
If you wish to alter your booking in any way once it has been confirmed by us, we shall do what we can to satisfy your requirements. An amendment fee of £50 per booking will be charged plus any appropriate additional holiday costs. Any alterations by you within 8 weeks of departure may incur additional charges and all amendments can only be made subject to the required availability on flights, in hotels and lodges etc.

Alteration to a confirmed booking whilst abroad. We regret that no credit or refund is possible for any unused services provided in the cost of your holiday. If you decide to alter your travel arrangements whilst abroad this is your own responsibility and neither Africa Safari Direct Ltd. nor our agents are responsible for any extras or difficulties that may arise with onward travel as a result of such alterations.

Adventure holidays. Please note that for clients undertaking a trekking itinerary such as Kilimanjaro (or any other trekking itinerary) we offer first class guides, porters and provide safety equipment. Most of our clients make it to the summit or complete the trek. However if you are obliged to descend before the end of your climb there is no refund of National Park fees and any additional accommodation and/or transfer fees are the responsibility of the Client.

Cancellations By You
Should you, or any member of your party, wish to cancel your booking at any time please notify us immediately. If we have already issued a Confirmation of Booking it is essential you indicate your intention to cancel in writing. This instruction to cancel must be signed by the person who signed the booking form. We will not effect the cancellation until such written advice is received. Any cancellation will incur a charge payable by you to compensate us for our estimated losses and expenses. These are shown in the table below calculated as a percentage of the total holiday cost of the person or persons making the cancellation, excluding insurance premium.

If the reason for cancellation is covered under the terms of your insurance policy, you may be able to reclaim these charges.

Complaints
In the unlikely event that you have a complaint whilst on holiday this must be brought to the attention of the operating company, its agent or the hotel or lodge management as soon as possible. It is likely your complaint will be resolved there and then to your satisfaction. If, however, this is not the case and you wish to pursue the matter on your return from holiday it is essential you put your complaint in writing to us within 28 days of your return quoting your holiday reference, departure date and destination.

Conditions of Carriage
Your booking is subject to conditions of carriage of air or sea carriers some of which may limit or exclude liability. These conditions are often the subject of international agreement between countries.

Our Commitment To You

Price
All credit card charges will be made in £ sterling and invoices raised in this currency, unless otherwise agreed.

Safari, climb and beach extension costs are based on the US $ and if the value of the £ falls by more than 4% against the $ between the time of paying your deposit and the date when the balance is due, we reserve the right to make a currency fluctuation surcharge. This will be limited to the actual amount of the fluctuation on the safari costs in excess of 4%, International flight costs are agreed in £, and are not be subject to variation.

If you do not agree to pay this surcharge at the time, you will have the right to cancel the contract entirely, with a full refund of the deposit paid.

If the value of sterling appreciates more than 4% against the US $ between the time of your making the deposit and the final payment date, we will pass on the the saving on the safari costs in excess of 4% to you, and reduce the balance due.

Alterations By Us
The arrangements agreed in your itinerary may be subject to changes caused by a variety of reasons, including weather and road conditions. Many of these changes are very minor in nature and should not affect the overall enjoyment of your holiday. Where they are more significant, and known in advance, we will do our best to advise you prior to your departure. Sometimes, however, a major alteration has to be made before your departure and provided it does not arise as a result of events beyond our control (See Important Note below) we will give you the options of either: a) accepting the revised arrangements, b) transferring to such other holiday as we may have available at its advertised price, or c) cancelling your holiday with a full refund of all monies paid. A major change is considered to be: a significant change of itinerary, a change of accommodation to that of a lower category and/ or price.

In the unlikely event of accommodation not being available on arrival at an hotel or hotels described in the brochure and/or confirmed to the clients, Africa Safari Direct Ltd. undertakes to provide alternative accommodation in an hotel or hotels of categories at least as high as those contracted or to pay appropriate compensation where the available accommodation is of an inferior standard.

Important Note
Compensation payments will not be made for changes caused by reason of war, threat of war, riots, civil strife, terrorist activity, strikes or other industrial disruption, natural or nuclear disasters, fire, quarantine, epidemics, weather conditions, government action at home or abroad, technical problems with transportation, changes of schedules or operational decisions by airlines, shipping or rail companies, airport or port closures, or any similar event beyond our control.

Airport/flight delays. We use the services of the world's major international airlines. These are rarely subject to delays. In the unlikely event that this does happen, arrangements for meals, overnight accommodation etc. should be met by your airline. If you are joining a group and flight delays mean that additional transfers etc. are required to enable you to join the group, these costs must be met immediately by you the client and should later be re-claimed under your insurance policy if applicable.

Cancellation By Us
We reserve the right in any circumstance to cancel your holiday and in such an event we shall seek to offer a suitable alternative, or make a full refund of monies paid to us. Except for events beyond our control (see Important Note above) or if you default on payment, we will not cancel any booking within 8 weeks of the scheduled departure date.

Our Responsibilities
All reasonable steps have been taken to ensure that the holidays offered have been properly arranged, and that suppliers of the various services included in your holiday are reputable, maintain high standards and that they conform with the laws of the country in which they are operating. Although we have no direct control over these suppliers, we do accept responsibility for ensuring that your holiday is supplied to you as described in the itinerary and to a reasonable standard. Should any part of the holiday not be provided as advertised, we will pay appropriate compensation if this affected your holiday enjoyment, subject to Important Note above. Where any services consist of carriage by air or sea, our obligations and liabilities are limited in the manner provided by international conventions in respect of air or sea carriers.

Contract
Our contract with you shall be deemed to have been made at the offices of:
